File Status

File statuses indicate where the file stands in the content development process.

Overview

You can quickly view a file's status in the file listing, for example:

In easyDITA, file statuses can be used as a filtering constraint when searching for content and as an indicator, for example, of how many files are in the Review status. This can help you determine the overall state of content in your content library.

Default File Statuses

File statuses are used in easyDITA to indicate where a file stands in the authoring and publishing process.

Configured File Statuses

Configuring file statuses enables you to align with your existing content lifecycle processes.
Note: To configure your instance, contact your Customer Success Manager.

You can configure the following aspects of file statuses:

  • Status names
  • Color indicators
  • Amount of statuses

Change the File Status

Modify the status of a file so others are aware of its state in the workflow.

  1. In the content library, right-click a file and select Properties .

    The Properties tab in the resource manager appears.

  2. Click the Status menu, and select the status you want to apply to the file.
  3. Click Save Changes .

    The status of the file shows in the file listing.

Bulk Change Files Status

Change the status of multiple files using bulk change. 

  1. In the content library, select the files, folders, or maps you want to modify.
  2. Right-click and select Bulk Change.
  3. If you don't want to include the dependencies of a given map, like its child topics and submaps, clear the Include dependencies check box.
    Important: The Include dependencies option only includes the direct dependencies of the map. It does not include the binary files.
  4. If you don't want to change the resource-only files in a map, clear the Include resource-only files check box.
    Tip: For example, the resource-only files are your warehouse topics that have the @processing-role="resource-only" attribute assigned to their <topicref> elements. They are appended in a map but are not included in the output.
  5. Check Status.
  6. In the Status menu, select the status you want to apply.
  7. Click Save.
